General Data Protection Regulation (GDPR)
COTI Conference Time will act as the data controller and will be responsible for processing your personal data for purposes related to the organization and administration of the International Conference on Environmental Psychology, to be held on 20–23 June 2027.
Your personal data will be processed solely for purposes related to your registration and participation in the conference, in accordance with the applicable data protection legislation, including the General Data Protection Regulation (EU) 2016/679 (GDPR).

Important notice
Please note that we are unable to accept your registration unless you consent to the processing of your personal data, as these data are necessary for the administration and organization of the conference.
General Terms & Conditions
1. Organizer

2. Registration
Registration for the conference becomes valid upon completion of the registration process and payment of the applicable registration fee, where required.
By completing the registration form, the participant confirms that the information provided is accurate and complete and agrees to comply with these General Terms & Conditions.
3. Participation in the Conference
During the conference, photographs and video recordings may be taken by the Organizer or its authorized partners for documentation, promotional and archival purposes.
Participants may not record, photograph, livestream, reproduce or distribute scientific presentations, conference materials or other protected content without the prior written consent of the Organizer and, where applicable, the respective speaker or copyright holder.
4. Cancellation Policy
All cancellation requests must be submitted in writing and should include the participant’s bank account details required for the refund.
Cancellations received on or before 30 March 2027 will be refunded, less an administrative fee of EUR 50.00.
No refunds will be granted for cancellations received after 30 March 2027 or in the event of a participant’s failure to attend the conference.
Approved refunds will be processed within 30 days of receipt of the written cancellation request.
If the conference cannot be held, must be postponed, or its format must be changed due to circumstances beyond the reasonable control of the Organizer, including but not limited to force majeure, governmental restrictions, natural disasters, public health emergencies or other unforeseen events, the Organizer reserves the right to reschedule the conference or to change its format to an online or hybrid event.
In such circumstances, the Organizer shall not be liable for travel expenses, accommodation costs, loss of profits or any indirect or consequential damages incurred by participants. Registration fees will be handled in accordance with applicable law and the Organizer’s cancellation policy.
The Organizer does not provide medical, travel, cancellation or personal insurance. Participants are strongly encouraged to arrange appropriate insurance coverage at their own expense, including travel cancellation insurance, which may cover expenses incurred if they are unable to attend the conference due to unforeseen circumstances.
5. General Provisions
The Organizer reserves the right to make reasonable changes to the conference venue, dates, programme, speakers, schedule and format whenever necessary.
Such changes shall not entitle participants to compensation or reimbursement beyond the rights provided under applicable law.
Any matters not covered by these General Terms & Conditions shall be governed by the laws of the Republic of Poland, in particular the provisions of the Polish Civil Code.
If any provision of these General Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
